The Litigation Secretary will prepare and process legal documents and papers relating to summonses, complaints, discovery documents, motions, subpoenas, pretrial agreements, appeals, etc.
Duties & Responsibilities:
E-File documents in State, Federal, and Appeals Courts
Create and edit documents, mail merges, charts, graphs, tables, Table of Contents and Authorities, etc
Maintain electronic and paper files
Maintain and manage calendars - schedule appointments, meetings and travel arrangements
Handle administrative tasks such as billing, time entry and expense reimbursements
Mail, fax, or arrange for delivery of legal correspondence and other documents to clients, counsel, witnesses, and court officials
Run conflict checks and open new client/matters
Make photocopies of correspondence, documents, and other printed matter
Scan and clean- up documents utilizing scanner equipment and software
Assist attorneys and paralegals with all preparation and logistics during trial, including coordinating meals, travel arrangements for attorneys or witnesses as needed
Arrange with constables and sheriffs for service of summonses, complaints, subpoenas, etc.
Schedule court reporters for depositions
Perform other tasks and duties as assigned
Education & Experience:
5-10+ years of experience supporting Litigation attorneys
Proficiency with MS Office suite, iManage or similar DMS
Experience entering time into Intapp, or other time-entry software
Ability to work well under pressure and meet deadlines in a timely manner
Ability to accurately and thoroughly document and file information
Comprehension of complex materials involving legal and technical matters
Excellent communication skills
Additional Information:
Supervisory Responsibility – This position has no direct supervisory responsibilities.
Work Environment – This position operates in a professional office environment.
Position Type/Expected Work Hours – This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m. Evening and weekend work may be required as job duties demand.
Travel – Little to no travel is expected for this position.
